It is important for companies to have up to date software even in these times of recession. It can be expensive to replace things like recruitment software but if it is out of date them the users will be less efficient and that means that things will not run as smoothly in the company. It may seem that perhaps something like staffing software will not be significant to a large company, but if all systems are kept running as efficiently as possible then this will make a big difference. Obviously just changing the applicant tracking software may not be significant but changing all pieces of software will be. Of course this does take big cash injection into a company and at this tough financial time, many companies may not be prepared to do this as they do not have the finances to do so. However, the companies that do take the risk are likely to survive because they will have a competitive edge over the companies that have not done so. Whether it is software that you are considering purchasing, or something else, it is worth looking carefully at your reasons for doing so and working out whether you are doing it for the right reasons.

Everything in business can be a risk but it needs to be a calculated risk and it should be possible to work out whether it is worth making this type of investment or not. It may be a case of not having the money or being able to borrow it and then there is no choice but to not invest the money. However, if the money is available then there may be several options for investment and so it is worth investigating each one and trying to calculate which one will bring the best return for the company in the long term and in the short term. This is not always an easy calculation and it may feel that you need more help in the short term than the long term at the moment with the economic situation being so bad. The best thing to do is to not panic and make sure that the decision you are making is the best one to ensure that your company keeps making a profit and will survive through the recession. So think things through and invest wisely and you should get good results from what you are doing.

Once you have decided that your company can benefit from the use of an Applicant Tracking (ATS) or Talent Acquisition software, you must determine an efficient evaluation process. Taking a calculated approach will save time and create the data that will help make the presentation to your team organized.

Gathering Requirements
This initial step should be to develop a scope of work that will help find the services or features that are most crucial to you. Speak with all of the stakeholders including HR, recruiting, and managers with roles in the process. Create a simplified flowchart or workflow to document how candidates move from start to hire to start date. Define your requisition process in the same manner.

Establish primary and secondary objectives
Your budget and time constraints will likely be limited for this project so organization now will help ensue all objectives are met. Now that you have your processes on paper, share them with your stakeholders. Ask for comments to highlight bottlenecks or problem steps in these processes. Isolate the areas that need improvement to rank there order of importance. After narrowing down the key primary and secondary issues, create goals for each to help determine measurable factors of success. Work backwards from these goals to find the questions you want answered by prospective venders.

Initial response time and the professionalism of their response is a good place to start scoring. Once you determined that the software vender can meet your needs, price estimates can be requested to save everyone aggravation.

Consider how all of the steps from your workflow would be effected by each option. Intangible factors such as business size, experience, and recommendations should be a significant part of the overall equation. Compare usability factors, features (built-in or upgrades), storage limits, and license restrictions. Good venders can act as partners. Rate their willingness to accommodate your workflow(s) and solve the problems you prioritized. Be aware that some ATS venders only offer multi year agreements.

Decision Time
If you have made it to this point, pat yourself on the back. Now demo your top systems. Pay attention to the details and encourage your stakeholders to participate whenever possible. Limited trials help, but can also slow the decision process down. In the end, you should be left with only good options. Time spent planning will help avoid costly mistakes and ensure you get the credit you deserve.
